Privacy Policy

Reftek, LLC assigns referees to youth soccer games in the Kansas City metropolitan area. This policy explains what we collect from the referees who officiate for us, why we collect it, and what we do and do not do with it. It applies to reftek.us and to the referee scheduling application hosted there. This is the only privacy policy that applies to Reftek, LLC and to its text messaging program.
Text messaging (SMS)
We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes.
Mobile information will not be shared with third parties/affiliates for marketing/promotional purposes.
What we collect and how we use it for messaging. We collect the mobile number you enter on your own profile and a record of the choice you made about texts. We use them for one purpose: sending you notices about your own officiating, which are when a schedule is posted, games you can claim, changes to a game's field or time, cancellations, and confirmation of games you have taken. We send no marketing or promotional text messages.
Message frequency varies with how many games are scheduled, typically a few a week during the season.

Texts go only to referees who have chosen to receive them on their own profile page. Nothing is preselected, an unanswered question is a no, and you can change the choice at any time on that screen. Reply STOP to any message to stop them, or HELP for help.
What we collect
When you create a referee account we collect your name, email address, and a password. In your profile you may also provide:
- Mobile number, for scheduling messages if you have opted in
- Date of birth, from which your age is calculated
- Home address, used to sort assignors by how near they are to you
- USSF referee identification number and years of experience
- A name to use for payroll, where it differs from your own
- Parent or guardian contact details, and whether they should be copied by email on messages about your games
We also record the games you are assigned to or claim, and the messages we send you, so that both you and your assignor have a record of them.
How we use it
To schedule games and tell you about them, to work out which games you are qualified and available for, to pay you correctly, and to let your assignor contact you about your officiating. We do not use your information for advertising, and we do not build profiles of you for any purpose beyond assigning games.
Who can see it
An assignor you have connected with can see your name, contact details, your qualifications and the games you have worked. They can also see your approximate location, meaning your city and how far you are from their fields.
They cannot see your exact address or your coordinates. Those are used only to calculate distance and are never shown to another user.
We do not sell your information. We share it only with the services that operate the site on our behalf, and only so far as they need it to do that. We will disclose information if the law requires it.
All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Mobile information will not be shared with third parties/affiliates for marketing/promotional purposes.
Referees under 18
Many of our referees are minors. Where a referee has given parent or guardian contact details and asked for them to be included, we copy those contacts by email on messages about their games.
Parent and guardian numbers are never used by our text message program. The texts described above go only to a referee's own mobile number, entered and agreed to by that referee on their own profile.
A parent or guardian may contact us at any time to ask what we hold about their child, or to have it corrected or removed from active use.
How long we keep it
We keep referee records for as long as you officiate with us and afterwards, because assignment and payment history is a record both sides may need. Referee accounts are deactivated rather than deleted, which keeps that history intact while removing you from scheduling. If you want your information removed entirely, contact us and we will do it where no legal or accounting obligation requires us to keep it.
Your choices
- Correct anything in your profile yourself, at any time.
- Turn text messages on or off on the same screen, or reply STOP to any message.
- Deactivate your account, which hides you from scheduling and keeps your history.
- Ask us for a copy of what we hold, or for it to be deleted.
Security
The site is served over encrypted connections, passwords are stored hashed and never in readable form, and access to referee information is limited to the assignors you have connected with. No system is perfect, and we will tell you promptly if something happens that affects your information.
Changes
If this policy changes materially we will update the date above and, where the change affects how we contact you, tell you directly.
